Cadence — Privacy Policy
Last updated: October 2026
Cadence is a private unit-management app used by members of a single
organization to coordinate training, logistics, scheduling, and
administrative activities. This page explains what information the
app collects, why, and who can see it.
Who this applies to
Cadence is not available to the general public. Every account belongs
to a member of the organization operating this app, and access to any
other member's information is limited to what that person's role
requires.
What we collect
- Account information — email address, and the name,
phone number, emergency contact, and mailing address you choose to
enter into your own profile.
- Organizational data — your placement within the
organization's structure, role assignments, and activity tied to
that role (event attendance, training completion, task
acknowledgment, equipment issuance, performance evaluations).
- Messages — content you send in the app's group and
direct messaging features, visible to the conversation's other
participants.
- Practice calendar (optional) — the practice items you
plan, what you check off and the notes you write on your own practice
calendar. It's visible to you and to the leaders of the MPTs and Sections
you belong to, and to no one else; the app tells you who those leaders
are.
- Uploaded files — documents you or an administrator
upload, such as training certificates, issuance/loan records, and
accounting receipts.
- Device push token — used solely to deliver
notifications relevant to you (e.g. an event update, a new message).
- App version and device — which version of
Cadence you're using, on what kind of device and operating system, and
when you last opened it. Your organization's administrators see this
so they know who still needs to update the app.
- Usage analytics — when the organization has it
switched on, the app reports sessions, the app version and your device
type to Google Analytics for Firebase, tied to your account's internal
ID. Your name, email address and advertising identifier are never
sent, and it is never used for advertising. Google works out an
approximate region (such as the city) from your internet connection;
the app itself never reads your device's location.
- GIF search — when you search for a GIF in a
chat, Cadence's server sends what you typed to GIPHY, without your name
or account. The previews in the picker load straight from GIPHY's
servers, which see your device's internet address as any website would.
A GIF you send is copied into the conversation and kept like a
photo.
- Biometric sign-in (optional, opt-in) — if you
enable Face ID/fingerprint sign-in, your device's operating system
handles the biometric check itself; Cadence never receives or
stores any biometric data. The only thing Cadence stores is your
account password, encrypted by your device's own secure storage
(Keychain on iOS, Keystore on Android), never synced off that
device, and used only to complete a normal password sign-in on your
behalf after a successful biometric check.
What we don't do
- We don't sell or share your information with third parties for
advertising or marketing.
- We don't run ads or track you for advertising. The only analytics
service is Google Analytics for Firebase, described above.
- We don't collect your device's location.
Who can see your information
Your own profile information is visible to you and to organization
administrators. A narrower set of your information (name and the
contact details you've chosen to enter) is visible to other members
of the organization so they can identify and reach you — the same way
it would be in a paper roster. Some areas of the app (e.g. financial
records) are restricted to a smaller group of designated
administrators.
How your information is stored
Cadence is built on Google Firebase. Your data is stored in Google
Cloud infrastructure and is subject to
Google Cloud's privacy commitments
as our data processor. We do not operate any servers of our own.
How long we keep it
Historical records (past event rosters, issuance/loan history,
evaluations, accounting entries) are retained even after a member
leaves the organization, since they remain part of the
organization's own operational and accounting history. A departing
member's account is disabled and their standing access removed, but
records that reference them are not deleted.
Your choices
- You can review and update most of your own profile information at
any time from within the app.
- You can turn device push notifications off in your device's
system settings.
- You can disable biometric sign-in at any time from Settings,
which immediately deletes the locally stored credential.
- You can delete your account and personal details — in the app
under Settings → Delete my account, or by email if you can't sign in.
See Delete your account for what is
deleted, what is kept, and the 7-day grace period.
